What to Send for a Light Pole RFQ: A Practical Checklist for Buyers
A useful light pole RFQ does not need to be long. It needs to show where the pole will be used, what it needs to carry, which finish is preferred and what response the buyer expects back.
The goal is simple: fewer assumptions, faster engineering review and a cleaner first quotation.

Start with the project context
Do not begin with only a product name and a request for the best price. Start with the installation country, application, project stage and expected response. Roadway lighting, garden lighting, sports lighting, solar lighting and multifunctional pole enquiries all lead to different follow-up questions.
If the project has tender documents, mark the relevant sheets instead of sending a large file with no notes. The useful pages usually show pole layout, fixture type, finish wording, drawing requirements and delivery expectations.

Application, country, target height, quantity range, device data and required response.
Acceptable early message
Application, height and country, with open items clearly marked.
Weak message
A single image plus a request for best price.
Send the device data
The pole supports something. That may be a luminaire, solar panel, signage arm or another mounted device. Send weight, projected area or EPA, mounting position, arm length and cable route when available.
Roadway lighting references from DOE and IES treat lighting as a system. For an RFQ, that means the pole and luminaire should be discussed together, not as unrelated parts.

Describe the site and environment
Country, city, coastal exposure, industrial exposure and site photos all help the first review. A pole for a coastal road, a parking area and a stadium perimeter may look similar in a product card but need different material and finish discussion.
For stainless steel and aluminum alloy pole projects, finish direction should be sent early: brushed, powder coated, anodized, titanium plated, mirror polished or project-specific surface treatment.

Show what output you need
Some buyers need a budget range to check feasibility. Others need a formal quotation, drawing comments, packing discussion or tender support. Say which one you need.
That one sentence changes the response. A budget discussion can stay light. A formal quotation needs assumptions, exclusions and open items written down clearly.

Packing and shipping details should not wait until the end
Long poles, arms, brackets and surface-finished parts need packing discussion early. Packaging affects handling, protection, volume and shipment planning.
A short packing note is enough for the first RFQ. Say whether the project expects container shipment, mixed products, strict labeling or site handling limits.
